SUBMISSION GUIDE 2025

The following is an overview of the SHINE 2025 Awards of Excellence information and submission process to assist you in preparing your entry.    

Please review the following information and requirements carefully as some changes have been made to the submission and evaluation process for SHINE 2025.

Eligibility

The SHINE Awards of Excellence are open to IDIBC Registered (RID) members in good standing at time of submission.

If a project is a chain store or branch office & the Lead Designer who developed the original corporate or retail design standard is not an IDIBC RID, the project may not be entered in the SHINE Awards.

Submissions must be interior design projects completed after October 1 2022, published or unpublished.

Projects entered in prior SHINE Awards of Excellence are not eligible for entry in SHINE2025 except for new categories SHINE on a Dime and Climate Action & Innovation.

Categories

RESIDENTIAL

Residential NEW
This category includes new build private residences such as a house, condominiums, apartment, loft, or a vacation home. It also includes any existing residence that has undergone a full extensive interior renovation.

Residential PARTIAL RENOVATION
This category includes existing private residences that have been partially renovated: a house, condominium, apartment, loft, or a vacation home. Minimum size of space(s) included are to be no less than 400sf.

Multi-unit Residential
This category includes suites, lobbies, amenity spaces, and private function spaces created within condominiums or apartment buildings.

Marketing and Sales Centres
Included in this category are facilities, whether temporary or permanent, that serve as a promotional tool in the selling or leasing of multi-unit residential developments.

RETAIL & HOSPITALITY

Retail & Kiosks
This category includes retail establishments open to the general public, whether freestanding, within a building, or as part of a shopping centre. Also included in this category are the interiors of shopping centres or shopping centre concourses, whether new construction or a renovation.

Hospitality
This category includes new or renovated hotel rooms, suites, lobbies, private function spaces, amenity spaces, food services and personal services such as spas created within and associated with hotels, motels or inns. Note – food services (bars/restaurants) and personal services associated with an establishment and entered in this category as part of a complete establishments design may not be re-entered individually in another category.

Food and Beverage
This category includes restaurants, coffee shops, food kiosks, food court spaces, private or public clubs, cocktail lounges, bars and nightclubs.

WORKPLACE

Workplace above $160/s.f.
This category requires the inclusion of all areas of a workplace: workspaces – open and closed, reception areas, meeting rooms, lounge and lunch rooms to the extent that the total workplace is represented.  Partial submissions will re-categorized to the Workplace Partial category.

Workplace Partial
This category includes workplaces where only a portion of the space is renovated such as a public areas – eg. reception area, meeting room and lunch room.

Commercial Sales Centres & Amenity Spaces
Included in this category are facilities, whether temporary or permanent, that serve as a promotional tool in the selling or leasing of commercial space.
It also includes lobbies, amenity spaces – such as lounges and fitness facilities, private function spaces and any other multi-use space available to all occupants of a commercial building.

PUBLIC SPACES & WELLNESS

Institutional and Public Spaces
This category includes places of assembly occupancy, such as schools, universities, daycare centres, museums, theatres, public art galleries, public auditoriums, airports, courthouses, correctional facilities and places of worship.

Health & Wellness Facilities
This category includes all healthcare facilities: hospitals, clinics, research centres, therapeutic and geriatric facilities, medical offices and dental facilities. Wellness includes facilities related to improving our overall health & well being, inside and out, such as fitness facilities, spa’s, hair salons, etc.

ABOVE & BEYOND

SHINE on a Dime (note – projects entered in SHINE2024 may reenter this category this year only)
This category highlights any type of project, any size that was completed for less than $130psf not including mechanical or structural updates. Design must include a combination of some of the following so that a total of 50% of the space has incurred changes: revised layout, new finishes, revised lighting layout, new light fixtures or new millwork. Re-use of existing elements in new ways also qualifies as an incurred change.

Specialty Feature
This category includes a special feature, ie. custom-designed millwork, furniture, lighting, way finding, branding or product, designed as part of an interior design project. It may be a feature from a project entered in another category.

Specialty Project
This category includes a special project not easily defined in other categories like a rocket ship or yacht.

CLIMATE ACTION & INNOVATION

New Construction or Renovation (note – projects entered in SHINE2024 may reenter this category this year only)
Basic green building practices such as energy efficient lighting, materials with recycled content and recycling of construction waste have become the norm in the design and construction industry. The Climate Action and Innovation Award recognizes initiatives by designers and their clients that go beyond conventional green practices to deliver projects that drive innovation, embrace a circular economy and inspire us all to become more conscious of the fragility of our only earth. Entrants into this category are asked to outline their approach to design and/or construction that reflects the principles of IDIBC’s climate manifesto and advances the body of sustainable design and construction practice. Initiatives do not have to be green certified but must be defendable and must be associated with the interior design scope of a project.

SUBMISSION ENTRY

IMPORTANT:  THE IDENTITY OF THE LEAD DESIGNER, DESIGN TEAM or DESIGN FIRM MUST NOT APPEAR ANYWHERE ON THE MATERIALS SUBMITTED FOR JUDGING OR YOUR ENTRY WILL BE DISQUALIFIED.

Step One

Prepare your photographs.   The following are required for uploaded to your submission:

  • Lead Designer(s) Portrait.    Max file size  1MB.  .jpg   .jpeg  .gif  .png   .pdf
    Label “Lead 1, Lead 2” etc.
  • Design Team Portrait Photo(s) (optional).  Max file size 20MB. .jpg   .jpeg  .gif  .png  .pdf
    Label “Design Team Photo”
  • Project Photos Before (optional) – 5 maximum.    Max file size 2MB .jpg   .jpeg
    Label “project name-B01, project name-B02” etc.
  • Project Photos After – 4 minimum to 10 maximum.    Max file size 10MB .jpg   .jpeg. .tif   .tiff
    IMPORTANT – resolution to be 2000 pixels on the short side.
    Label “project name-01, project name-02” etc.

PHOTOS SHALL NOT BE DIGITALLY ALTERED OR ENHANCED IN ANY WAY THAT MAY RESULT IN A FALSE OR MISLEADING IMPRESSION OF THE WORK.

Step Two

Prepare floor and reflected ceiling plans for submission in .pdf format.  If project is a renovation to an existing space include a pre-construction plan.  Plans are printed for judges review and must be formatted to 11”x17”

  • Room names and important text eligible.  
  • Each plan labeled with project name.
  • Clearly indicate with numbered arrows views that correspond to submitted photographs.
  • Maximum file size 20MB

IMPORTANT:  THE IDENTITY OF THE LEAD DESIGNER, DESIGN TEAM or DESIGN FIRM MUST NOT APPEAR ANYWHERE ON THE MATERIALS SUBMITTED FOR JUDGING OR YOUR ENTRY WILL BE DISQUALIFIED.

Step Three

Register your project to obtain a project code. You will require the following information:

  • Project Name, City and Country
  • Client Name

Select a category for your project. If you are unsure which category to chose please contact us at shineawardsofexcellence@gmail.com

You will now receive a project code and may proceed to complete the project submission OR save your registration and complete the submission later.

Step Four

When you are ready,  log in with your project code to complete the following information for your project to be entered into SHINE2025.  The following is an overview of the information you will be required to provide:

PEOPLE INFORMATION

Information such as name, contact information (phone & email), job title, project role and as noted are required for:

  • Lead Designer(s)
  • Project Team (optional)
  • Co-designer (if applicable) include scope and responsibilities for the project.
  • Interior Design Firm of Lead Designer including contact info for person submitting the form should there be issues with the application and we have to contact them.
  • Architectural Firm (if applicable) – confirmation of scope of work.
  • Photographer(s) – name and email contact.
CONSENT FORMS

Lead Designer(s) &, Client & Photographer – Consent forms will be available online for signature. Note: Consent forms for photographers will be organized by SHINE this year.

PROJECT INFORMATION

The Jury will use all the information in the project description to evaluate your entry.

General Information:

  • Project size
  • Project construction cost psf. This includes all elements of construction.
  • FF&E cost – all items not fixed in place.
  • NEW! SHINE on a DIME Total construction cost subtract mechanical & structural upgrades = less than $130psf. Show us design ingenuity on a limited budget!

Design Process Information:

  • CONCEPT STATEMENT (written paragraph – 300 words max.)
    This concept statement may be used for the Awards Gala video presentation, for media etc. as an all encompassing short pitch setting the stage for the more detailed information. Thus we request full sentences be used.
  • CLIENT OBJECTIVES (bullet points – 100 words max.)
    What were the client’s goals for the project?
  • DESIGNER’S OBJECTIVES (bullet points – 100 words max.)
    Outside of meeting the client’s goals, what were the designer’s personal objectives for this project.
  • MEETING OBJECTIVES (bullet points – 100 words max)
    How did the design meet the project (combined client’s and designer’s) objectives?
  • CHALLENGES FACED & OVERCOME (written paragraph – 300 words max.)
    During the course of project were there any challenges that occurred where your knowledge and expertise as a professional designer were valuable in resolving the issue?
  • ONE THING THAT MAKES YOUR DESIGN EXCEPTIONAL. (100 words max.)

Scope of Work:

This section quantifies the extent of your design engagement in different aspects of the design. For all items that were less than 100% please provide insight as to why it was less than 100%. This provides the judges with valuable information on how to assess the projects overall design process and outcome. Areas addressed and considerations are as follows:

  • Programming/Preliminary planning – if the client provided you with a plan note whether you made revisions.
  • Ceiling Design – if a renovation was any of existing kept?
  • Finishes Selection – did the client preselect any finishes. how did the materials support the concept and client objectives?
  • Furniture Selection – did the client preselect?
  • Millwork Design – custom or prefabricated. If custom – were there any functional features?
  • Signage & Graphics – did you work with a graphics firm? Explain coordination.
  • Lighting – did you work with a lighting designer? if yes, who selected the fixtures? How did you work collaboratively? How did the light fixture selection support the concept and client objectives?
  • Design strategies employed – Trauma Informed, WELL, LEED, Neuroinclusive Design, Accessibility enhanced, other.

Step Five

ONLY IF YOUR ENTRY IS FOR THE CLIMATE ACTION & INNOVATION CATEGORY YOU WILL COMPLETE THE FOLLOWING INFORMATION.

Climate Action Initiatives

Please provide the following:

  • Your personal green credentials.
  • Relative to your project – insight into the instigation, process, outcome and lessons learned relative to advancing sustainable design and construction and the circular economy.

You may use bullet points within the overview but conclusion must be a summarizing statement that can be used for media purposes. (400 words max.)

Step Six

Upload your prepared photographs and plans.
IMPORTANT: THE IDENTITY OF THE LEAD DESIGNER, DESIGN TEAM AND DESIGN TEAM MUST NOT APPEAR ANYWHERE ON THE MATERIALS SUBMITTED FOR JUDGING OR YOUR ENTRY WILL BE DISQUALIFIED.
